Admin assistant for operations manager
World Vision is an international Christian Humanitarian Organization working with the poor and oppressed to promote human transformation and seek justice. Our Cambodia Office is seeking for one (1) qualified Cambodian candidate to fill in the position below:
Position of: Admin Assistant for Operations Manager
Location: Siem Reap Province
Salary & Benefit Package: Competitive and negotiable
I. THE PURPOSE OF THE POSITION
• To assist Operation Manager for secretary and administrative duties to maintain good working environment.
• To Provide administrative support to Human Resource in term of having quality service and ministry Operations
II. MAJOR RESPONSIBILITIES
1. Assist OM with appropriate timely dispatch of out-going and incoming official correspondence e.g. letter, memo, facsimile, report and related documents, to their relevant addresses.
2. Assist OM with preparation and organizing meeting: manage the schedule, make appointments, and prepare logistic support, take minute and follow up action.
3. Assist the liaison between OM and P&C Officer, and WVC staff, visitors, and other Government department and Organizations.
4. Assist in answering telephone calls, take messages and deal with calls as appropriate, including the appointment with candidates.
5. Maintain filing to ensure easy retrieval and good reference.
6. Review incoming CARD Form, memos for OM and P&C Officer and submit them for approval files and keeping follow-up on action, including medical document.
7. Maintain office supplies for sufficiency use of OM and P&C Officer and update stock list every time each item out of stock.
8. To ensure confidentiality of all documents for all staff and records in personal file or any business issues.
9. Perform other duties such as copy, car booking, room booking and other works as assigned.
10. Prepare and send documents to relevant department and agency as require by OM and P&C Officer.
11. Organize and maintain general office support needs, such as filling documents and photocopying documents.
12. Assist P&C Officer in filing and documentation of the personnel files such as Conflict of Interest Disclosure form, Designated Beneficiaries, School Certificate for Dependent Declaration form, Leave and PDM forms.
13. Other duties assigned by Operation Manager and P&C Officer.
III. REQUIREMENTS
1. Must understand and agree with WV’s vision, mission and core values.
2. Bachelor Degree in general management and secretary is preferred.
3. Good understanding, speaking and writing in English language is preferred
4. Have knowledge of Basic Computer Ms. Word and Excel.
5. At lease two year experiences in secretary and HR work.
6. Good interpersonal skill and willing to work in team.
7. Ability to organize and prioritize tasks.
8. Willing to learn new thing for self-development.
9. Commitment to work under pressure and be able to keep confidential issues.
10. Be able to drive a motor bike with legally driving license.
